About ECE Events
The Texas ECE Events office produces all Department Chair events including Welcome Week, Symposiums/Conferences, Alumni Events, Retirement Celebrations, Awards Ceremonies, etc. Smaller scale events include catering for meetings, room setups, and working with other offices to assist with their events. 


Purpose

Working closely with the Texas ECE Sr. Events Coordinator, the successful candidate will conduct various skill-building tasks with variety and responsibility. The position is suited for someone who likes planning, problem-solving, writing, as well as to working independently and as a team, multi-task, create and document work processes, and stay organized. This position will require customer service skills and event coordination interest.


Job Duties and Responsibilities
As a Student Assistant, 15 - 20 hours a week you will…

  • Promote and represent Texas ECE throughout the engineering community and provide support with Departmental and Alumni events.
  • Assisting with event day set-up/tear-down and execution (i.e., catering, registration, signage, and safety requirements) at events.
  • Become an advanced user of UT Canvas, Airtable, CVENT, and Event Farm.
  • Keep up to date on department event calendars and promote events through website posts, canvas announcements, etc.
  • Participate in regular trainings and department activities to promote team building and collaboration, as well as individual development.
  • Create administrative documents such as registration lists, name tags, floorplan layouts, etc.
  • Managing digital event and poster signage
  • Assisting with general events, meetings, and department needs.
  • Archiving and filing documents in UT Box.

 

Your duties are likely to evolve as you gain experience within the department. This is a long-term opportunity that will lead into future semesters (depending on performance).

 

Qualifications

  • Must be a current student at the University of Texas at Austin.
  • Creative thinker, able to help brainstorm fun event themes, activities, prizes, etc.
  • Proficiency with (or ability to quickly learn) basic computer programs such as Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), Google applications (Drive, Forms, Sheets), UT Box, RSVP management software (like CVENT, Airtable, Event Farm).
  • The position is well-suited for a person who is a productive self-starter, resourceful, able to multitask, able to think on their feet and be customer service oriented.

Preferred Qualifications 

  • Previous experience with event planning, catering coordination, food handling or customer service

Workdays and Times: Monday-Friday in the Engineering Education and Research Center (EER)           

Approximate Hours/Week: 15-20 hours per week
