PAY AND BENEFITS

Annual Pay Range: $49,076.54 - $62,181.80

Hourly Pay Range: $23.594489 - $29.895094

Salary offers will be made within the posted pay range and will be based on a candidate's experience (paid or unpaid) that is directly relevant to the position.

JOB DETAILS AND QUALIFICATIONS

Clackamas County Sheriff's Office, A Safe Place Family Justice Center (ASP-FJC) is looking to fill an Office Specialist 2 position.

The Family Justice Center provides comprehensive support and services to individuals and families experiencing family violence, sexual violence, stalking, human trafficking and elder abuse. ASP-FJC is comprised of 11 public and non-profit on-site partners co-located under one roof providing trauma-informed, wrap around services free of charge.

This position is responsible for being the first point of contact for victims accessing services in-person and answering the main phone lines. Additionally, this position is responsible for providing hospitality and connecting victims to the appropriate service provider.

The most competitive candidates will be flexible and adaptive, have experience assisting victims and providing them with support and working in a collaborative and fast paced environment with everchanging priorities.

IMPORTANT INFORMATION

This is not a sworn position, however it does require a complete Statement of Personal History (SPH).

Only those applicants selected will need to submit the SPH. The SPH is due 10 calendar days AFTER you have been notified. Applicants will receive instructions from the Department of Human Resources or the Sheriff's Office on how to login to the electronic SPH.

Required Minimum Qualifications/ Transferrable Skills:*

• A minimum of two (2) years of relevant experience providing clerical support, including data entry and retrieval, reception and document processing.
• Experience answering high volume phone calls as a regular part of your duties.
• Experience providing customer service to a diverse group.
• Experience working in a fast paced, sometimes hectic, work atmosphere with ever changing priorities.
• Ability to work independently as well as part of a team.
• Experience in a position that required strong analytical, problem-solving and critical reasoning skills.
• Experience managing deadlines and accurately processing data under time limited restraints.
• Must be detail oriented and have the ability to multi-task.
• Experience handling confidential, time sensitive information.
• Experience establishing priorities and managing workload with minimal supervision.
• Knowledge and experience in recordkeeping techniques.
• Proficiency in Microsoft Word and Excel.
• Must pass a post-offer, pre-employment drug test
• Must pass an extensive background investigation, including national fingerprint records check
• Driving may be necessary for County business. For position(s) with occasional/incidental driving, incumbents must possess a valid driver's license. Preferred Special Qualifications/ Transferrable Skills:*

• Experience with victim support or working with people who have experienced trauma.
• Knowledge of the impact and/or experience with providing support to people experiencing domestic violence, sexual assault, human trafficking or elder abuse.
• Bilingual fluency in both English AND Spanish. (Please note: Language fluency means being capable of using a language easily and accurately. Being “bilingual" means using or able to use two languages with equal fluency.)

Other Qualifications:

• Possession of a Law Enforcement Data System (LEDS) Certification is required within 6 months of employment.

TYPICAL TASKS

Duties may include but are not limited to the following:

• Receives, transfers or refers calls to appropriate sources; provides complex or technical information which requires the interpretation of office or program policies and procedures in order to facilitate office operations or assist the general public; schedules appointments for
clients with appropriate staff member(s); meets and greets the general public and/or clients and directs individuals to appropriate staff; checks in and processes clients in preparation for appointments; makes outgoing calls related to services or appointments; processes transactions, computes or verifies data, fees, or payments; determines when to refer members of public or clients with varying temperaments to appropriate staff member(s) for assistance.
• Processes, enters, and examines complex or technical materials such as legal forms, formal documents and records where specific procedural requirements are complex, and where accuracy and effectiveness are critical; interprets data for proper input to program formats; determines necessary changes to data gathered or entered; may perform duties or functions of a sensitive or confidential nature.
• Composes routine correspondence and proofreads/edits document for grammar, clarity, punctuation and spelling without altering author's intent; updates and maintains spreadsheets, databases, and reports; tracks and logs data for the department, division, and or employees; returns documents to originating person for editing or approval.
• Maintains filing and record systems with a variety of subject matter to provide easy access to records and information; provides retention of records as needed and/or requested; assists with record requests as needed; consults with supervisor as to nature of data requested.
• Provides assistance scheduling and setting up conference rooms for meetings and events.
• Coordinate, pick up and unload food resources and donations designated for the family justice center.
• Assist in the coordination of a large scale event, the Annual National Family Violence Apprehension detail.

REQUIRED KNOWLEDGE AND SKILLS

Considerable knowledge of: Accepted office practices, procedures and techniques; Basic English composition, spelling, grammar and punctuation; arithmetic, clerical/accounting principles and processes. Some knowledge of: Techniques of supervision and training; concepts and techniques of prioritizing, organizing work; applicable program policies and procedures and/or rules, regulations and statutes depending upon assignment of duties and responsibilities.

Working knowledge of: Office equipment, including computers and software programs and their functions/capabilities.

Skill to: Independently, accurately and effectively perform assigned tasks and duties following established procedures and program policies; establish and maintain effective working relationships with the public, staff, clients, and other personnel of other businesses in a courteous, professional manner; communicate effectively, both orally and in writing; effectively accomplish a variety of duties with competing priorities; apply related principles, policies and procedures to specific work assignments; skillfully operate office equipment and computer software; type at a speed necessary for successful job performance; teach other staff particular work assignments and the operation of office equipment.

WORKING CONDITIONS

Duties may include contact with individuals from varied socioeconomic groups, or individuals who are hostile and/or emotionally distressed and in need of Clackamas County services.

WORK SCHEDULE

This position works 40 hours during a standard workweek of Monday through Friday. Specific hours of work will be discussed with the candidate selected for this position at the time an offer of employment is extended. This position is designated as on-site/in-person. It is expected that the selected candidate will perform duties at the specified on-site work location.
