Records Management Intern (Procurement and Payment Services)

The Division of Student Affairs Internship Program 
  
The Division of Student Affairs Internship Program empowers students to spend a summer handling a special project for the university designed to prepare them for life after graduation. Interns will work 19 hours per week for 10-weeks. These part-time internship positions offer a competitive compensation package that includes an hourly wage and housing assistance. Undergraduate students only are eligible to apply. The internship runs from May 30, 2023 to August 4, 2023. The application is due by February 12, 2023 at 11:59pm. 
  
Although internships range in subject matter and skill set, each position is designed to prepare all students for life after graduation. An additional component to the internship experience will be a ten-week workshop series to develop students’ career readiness. The weekly workshop will require in-person attendance on campus.

The Office 
Procurement and Payment Services (PPS) provides training, ongoing support and development to colleges, schools, units and researchers to strategically address sourcing, contracting, revenue generating opportunities and payment needs, while safeguarding for the highest-level of qualified and diverse supplier performance. Serving UT Austin as a trusted partner while providing integrated procure to payment support, PPS seeks a dynamic individual to research, gather and organize records (procurement files, meeting minutes, etc.) to be recorded in the department's Records Inventory and digitized if needed. Media include paper and digital.  
 
The Position 
• Review and catalog collection
• Establishing a long-term records management plan
• Locate and collect original organization documents.
• Organize all documents
• Digitize documents when necessary
• Update the digital file storage location to accommodate new material
• Image/scan/digitize materials according to approved project plan
• Prepare written reports
May be asked to complete light administrative duties 
PPS staff remains remote this position is considered Hybrid, which means that individuals in this position may work both at an approved offsite location and onsite at a primary location based on business needs.

• Working knowledge of creating descriptive metadata or catalog records or describing archival materials would be helpful.
