Keeping Washington Clean and Evergreen


The Nuclear Waste Program (NWP) is looking to hire a Secretary Senior. This position will be located in our Richland Field Office (RFO) in Richland, WAUpon hire, you must live within a commutable distance from the duty station.

This role is both exciting and unique in that it has some of the traditional secretarial duties but it also has several other customer service related duties, such as, being the program’s timekeeper, being the main point of contact for reserving conference rooms, and being the custodian of the program’s Business Travel Account log. In this role, you will have an opportunity to provide support on educational outreach events since you will be providing secretarial support to the Nuclear Waste Program’s Communication Unit.

Program Mission: The Nuclear Waste Program (NWP) mission is to lead the effective and efficient cleanup of the United States Department of Energy’s Hanford Site; to ensure sound management of mixed hazardous wastes in Washington; and to protect the state’s air, water, and land at and adjacent to the Hanford site.
During Healthy Washington Roadmap to Recovery, employees are working a combination of in-office and/or telework based on position and business need. This position will be required to work in the office 5 days per week. Ecology is following current state guidance regarding mask requirements, health screening questions before entry, and social distancing. Looking ahead, Ecology has recently updated the agency policies on telework and flexible and compressed work schedules.

Duties
What is unique about this position? 

This position is located in the front office (reception) area of the building. In this role, you will greet staff and visitors who come into the Richland Office. 
 
 
What you will do: 
 
  • Provide administrative support at the front desk Monday through Friday, 8:00am to 5:00pm.
  • Verify that staff and visitors are following the current health screening and masking protocols.
  • Receive, process, and distribute mail. Notify the purchasing coordinator when packages are delivered.
  • Provide secretarial support to the Communications Unit, such as, scheduling meetings, preparing agendas, note taking, assisting with travel logistics, formatting and finalizing the unit’s monthly report.
  • Be a participating member of the Administrative Support Team and assist with team projects and assignment.
  • Provide backup support to the program’s fleet coordinator.

Qualifications

Required Qualifications:
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, educational and volunteer experience. See below for how you may qualify.
Option 1: A High School diploma or GED AND two years of increasingly responsible secretarial office experience requiring keyboarding or typing. 
 
Option 2: An Associate's degree, or higher.
 
Special Requirements/Conditions of Employment:  
Must possess and maintain a valid driver’s license.
 
Desired Qualifications:

  • Skilled in the use of office equipment (e.g. personal computer, copier, fax machine).
  • Proficiency in Microsoft Word; and experience in other MS Office programs, particularly Outlook and Excel.
  • Ability to format and edit documents to meet Ecology formatting, grammar, punctuation, and Plain Talk standards. One year of experience working in an office providing administrative support to manager and multiple staff.
