Administrative Assistant

POSITION TITLE:         Administrative Assistant
 
ACCOUNTABLE TO:   Vice President and HSE Director
 
GENERAL DESCRIPTION: Responsible for providing technical and administrative support for multidisciplinary cross functional teams of several companies.
 
RESPONSIBILITIES:
·       Provide administrative, engineering and safety support. 
·       Assist with project setup and project invoice approvals.
·       Assist with gauge inventory management.
·       Enter statistics and safety information with contractor compliance companies.
·       Schedule meetings and training sessions.
·       Work closely with field staff to gather project safety documentation.
·       Work closely with HSE staff to schedule and execute safety training programs.
·       Conduct follow-up with appropriate parties.
·       Perform document control for project safety documents. File and organize as necessary.
·       Prepare documentation for new projects.
·       Attend third-party meetings related to safety and training.
·       Conduct monthly PPE inventory and update files.
·       Order, track and distribute PPE based on company policies.
·       Data entry duties to track safety inspections and toolbox talks.
·       Data entry duties to track educational grading and attendance.
·       Document meeting minutes.
·       Report and document preparation and production.
·       Copy, scan, and fax documents.
·       Other duties as assigned.
 
QUALIFICATIONS:
·            High school diploma or equivalent required.
·            A college degree preferred.
·            Excellent oral and written communication skills with strong emphasis on customer-oriented skills.
·            Superior organizational skills.
·            Attention to detail is necessary.
·            Ability to work in a dynamic environment, prioritize work and seek appropriate input to achieve target dates for assignments is required.
·            Ability to work with and maintain confidential information.
·            Self-driven, motivated and results oriented while also an excellent team player.
·            Document control skills.
·            Strong software skills: MS Word, Excel and Power Point.
