General description
 
This position coordinates all administrative operations of the Professional Development (PD) Division. Work includes disseminating information, developing systems, completing agency processes, preparing and editing reports and documents and all logistics related to PD programs. Works closely with and provides support to the management Team of the Division. Must have good communication and customer services skills.
  
This position may be eligible for a flexible/hybrid work schedule if certain conditions are met; working arrangements may change at any time as business necessitates.
 
(Note for Internal Employees Only) Salary and the position level will be based on the candidate’s work experience. The selected applicant for this position may not receive an increase more than $1000.00 per month.
 
Salary Information:
 
Executive Assistant II: $3,520.33 - $5,746.67
Executive Assistant III: $4,023.16 - $6.579.41
 
Qualifications
 
Minimum Qualifications: 

•  High School Diploma or equivalent
•  Two or more years of full-time work experience in positions that provided knowledge of administration and direct support to a multi-functional team
•  Expert knowledge of Microsoft Word, Excel and/or Powerpoint
•  Experience coordinating program activities (i.e. program planning, assessment, and organization)
•  Experience writing reports, correspondence and materials

Preferred Qualifications:

•  Graduation from an accredited junior college, or university
•  Experience performing a variety of office and/or administrative support work in a Texas State Agency.
•  Experience using Centralized Accounting and Payroll/Personnel System (CAPPS) Financials and HR/Payroll modules 
•  Recent experience (within the last three years) supporting the use of interactive distance learning or online meeting technologies
•  Use of HTML and related web development software and tools

In this role you will:
 Provide support and technical assistance to division management, including creating reports, scheduling, managing priorities and deadlines. 
 Performs office duties, including CAPPS-related responsibilities, and services as division Timekeeper, Training Coordinator, Contract Manager, Security Coordinator, Property Manager, Records Retention Liaison, Purchasing Liaison, and Human Resources Liaison 
 Monitors and maintains the Division budget.
