General Summary:
The Southern Research Project Management Office (SR PMO) is a specialized department responsible for the centralized, coordinated management of projects and activities conducted by various departments within SR’s Drug Development Division (DDV) and Drug Discovery Division (DDS). The PMO supports the division’s business strategy by handing administrative duties, including scheduling, reporting, and budget monitoring, as well as coordination, communication, and resource management. This position is responsible for providing scientific research project management support for contracts, grants and collaborations, including assisting in the planning, scheduling, and execution of tasks, coordinating the execution of activities and preparing reports. Individuals in this role will work closely with senior management and project team members in the areas of Oncology, Infectious Diseases, Toxicology, Chemistry, High Throughput Screening and Contracts. PMs require limited supervision of their day-to-day tasks.
 
Key Responsibilities:

  • Accountable for research project tracking, updating and maintaining project documentation.
  • Responsible for establishing and tracking project and program timelines and milestones.
  • Monitors and evaluates project plans to ensure there are not deviations from the established statement of work.
  • Works closely, communicates, and meets with Study Directors (SDs) and/or Subject Matter Experts (SMEs) from project setup to project closure/he or she will facilitate regular discussion about project status, and issues that may have an impact on the schedule.
  • Provides customer service to both internal and external customers promptly and properly on assigned projects; he or she will be attuned to customer needs and expectations.
Position Specific:

  • Prepares schedules, timelines and manages activities for principal investigators, internal and external drug discovery and development projects and external academic collaborations.
  • Assures adherence to schedules by interacting effectively with and providing information to various staff and client groups; prompts individuals and groups of needed results and approaching deadlines; and coordinates needs of one groups or person with those of another group or person.
  • Schedules and runs project meetings spanning multiple Divisions and Institutions.
  • Captures project meeting minutes and action items to circulate to project team members.
  • Works directly with senior staff to compile and submit project progress reports.
  • Alerts management of project overruns, missed deadlines, and any challenges that could have an impact on timelines and deliverable quality.
  • Assists with the preparation of technical client site visits.
  • Assists with project scheduling and prioritizing projects; he or she will be adept at using Microsoft Project to create Gantt charts, as well as demonstrate expertise with other scheduling tools and methods.
  • Attends and/or participates in meetings and/or teleconferences in support of assigned projects.
  • Ensures prompt resolution and communication of issues associated with assigned projects; he or she will work with SD and/or SME to resolve such issues.
  • Possesses a complete understanding of contractual and financial commitments related to assigned projects; he or she will be knowledgeable about project scope, deliverable dates, billing, milestones, invoicing, and terms.
  • Ensures that forecasting, revenue, milestone payments, and invoicing are completed in a timely manner for processing
  • Performs other duties as assigned by the PMO manager.
Requirements/Minimum Qualifications:

  • Bachelor’s degree in a business or scientific field, with at least three to five years of related experience.
  • Demonstrated ability to use the fundamental concepts, practices, and procedures of project management.
  • Prior demonstrated ability to successfully manage multiple standalone projects or parts of larger projects.
  • Knowledge of software applications, particularly those that run on the Microsoft (MS) Windows operating system, including Word, Access, Excel, and other programs; expert knowledge of MS Project is a plus.
  • Effective verbal and written communication skills; must be able to communicate difficult information with high level of decorum and tactfulness.
  • Highly detail oriented with good planning, organization, task-efficiency, and time-management skills.
  • Understand the importance of providing high-quality customer service to both internal and external customers.
  • Must possess a general knowledge of Project Management principles.
  • Must be eligible to work in the U.S. without employer sponsorship.
  • As a Federal contractor, Southern Research may be required to comply with a Federal COVID-19 vaccination mandate. In that event, Southern Research will require that all newly hired employees show proof of full COVID vaccination or authorized exemption prior to their start date.
Preferred Qualifications:

  • Project Management Professional (PMP) certification and/or course work.
  • 2-4 years of scientific project management experience.
  • Client interface experience.
Essential Functions & Competencies:

  • Ability to interact with others in a cooperative, persuasive, and tactful manner.
  • Ability to read, understand, retain, and apply knowledge of Good Laboratory Practices (GLP) and other study requirements.
  • Ability to type at a reasonable rate of speed.
  • Willing to work extended hours when necessary.
