Staffing Assistant/Junior Recruiter

Job Overview:
 
Perform general administrative tasks for the APTIM's office. This includes but not limited to data entry, handling information requests and clerical functions such as preparing correspondence, filing of electronic/paper copies, arranging meetings, answering phones and conference calls. Assists Recruiters and HR Managers in filling out and tracking personnel and requisitions, work with Recruiters and Managers to define offers to be extended, schedule interviews (may also conduct interviews), work with recruiters when required to identify qualified candidates, and coordinate project assignments. Performs other duties as required. Other duties may be required. 
 
Key Responsibilities/Accountabilities:
 
  • Electronic and hard copy filing and file maintenance.
  • Answers phone calls.
  • Assist with sourcing candidates
  • Maintains resume tracking, staffing and personnel files.
  • Primary contact for processing all requests.
  • Schedules interviews, and work thru the on-boarding process
  • Schedule drug screens
  • Assists with recruiting efforts with sourcing candidates
  • Provides administrative support to the Staffing function.
  • Work with Human Resources group
  • Printing, copying and scanning of hard copy files.
  • Data entry and validation in electronic databases.
  • Develop and compile weekly reports.
  • Schedules meetings.
  • Maintains and communicates group calendars.
  • Meets and escorts visitors.
  • Work with confidential data
 
 
Basic Qualifications:
 
  • Works with moderate supervision/guidance.
  • Works on straightforward tasks using established procedures.
  • Proficient in Microsoft Office Suite.
  • Strong attention to detail.
  • Strong proofreading and editing skills.
  • Ability to maintain a high level of confidentiality.
  • Excellent written, verbal and interpersonal skills.
  • Vaccination against the COVID-19 virus is required for this position. APTIM will consider requests for exemption due to a qualifying medical condition or sincerely held religious belief or practice.
