Policy Section/Program Manager's Office Administrative Assistant

Keeping Washington Clean and Evergreen

The Solid Waste Management (SWM) program within the Department of Ecology is looking to fill a Policy Section/Program Manager's Office Administrative Assistant (Administrative Assistant 3) position. This position is located in our Headquarters Office in Lacey, WA.
 
If helping to reduce waste through prevention and reuse, keeping toxics out of the environment, and safely managing what remains excites you, then please support our team! A few of this position’s functions include serving as primary Solid Waste Management Headquarters records coordinator, purchasing coordinator, telecommunications coordinator, and Reception Lead. In this role, you serve as the primary backup to our Program Manager’s Assistant, and will also support our Budget Manager and Legislative Coordinator during legislative session.

During Healthy Washington Roadmap to Recovery, employees are working a combination of in-office and/or telework based on position and business need. This position is required to work in the office three days a week at a minimum. Ecology is following current state guidance regarding building occupancy, mask requirements, health screening questions before entry, and social distancing.

Duties


What makes this role unique? 
In this high level Administrative Assistant position, you will have the unique opportunity to support a growing, dedicated team that is focused on building the partnerships and establishing paths to reduce waste, increase product recyclability, and develop plans to build more producer responsibility for products they create. The Policy section that this position supports has many focuses, including recycling, electronics, batteries, organic materials including food waste, plastics and mercury lights to name a few.

What you will do: 

  • Provide high-level administrative support to the Policy Section Manager, and section staff.
  • Provide backup for the Program Manager’s Administrative Assistant and support Budget Manager and Legislative Coordinator during legislative session. 
  • Schedule meetings, develop agendas, and lead video conference meetings using agency equipment including WebEx, Teams, or other online platforms.
  • Manage forms and records in accordance with agency policies. 
  • Ensure all documents/meetings meet accessibility requirements.
  • Manage webpage content and coordinates webpage and outreach documents with the Communications Manager and Outreach Specialist. 
  • Provide grammar and plain talk review of correspondence, legislative documents and reports.
  • Serve as primary contact for SWM HQ reception.

Qualifications

Required Qualifications:
High school graduation or GED AND a total of Four (4) years of experience and/or education as described below:

  • Progressively Responsible Professional Level Experience: in office/clerical, secretarial, bookkeeping, accounting, or general administrative work.
  • Education: Formal college level education will substitute year-for-year for experience.

One (1) year of experience as an Administrative Assistant 2, at the Department of Ecology.

Desired Qualifications:

  • Experience coordinating meetings with a variety of attendees.
  • Experience with remote meeting technology, like video conference, WebEx, Teams, or other services.
  • Experience with records management.
  • Experience with budget, contracts or grants.
