Billing Specialist

BILLING SPECIALIST


STATUS: Full time
LOCATION: Preferably Madison, Wisconsin; remote work possible within the United States.

WHO SHOULD APPLY?

Evident Change seeks a billing specialist to join our accounting team to help secure our revenue through the billing process. We are looking for a self-starter who will work with project managers to invoice for services rendered on Evident Change’s contracts and grants. The salary range for this position is between $50,500 and $63,000 and depends on experience, qualifications, and work location. We offer great benefits that you can customize to fit your needs, including a monthly stipend to support our work-from-anywhere culture.


WHAT DOES A TYPICAL WORKWEEK LOOK LIKE?

Get ready to do the following.
  • Ensure invoicing is completed timely and accurately for assigned grants/contracts. 
  • Maintain invoicing schedules of assigned grants/contracts. 
  • Field questions from clients, colleagues, and others in a timely manner. 
  • Prepare jurisdiction-specific forms and materials as required. 
  • Review reasonableness and allowability of expenses charged to contracts/grants prior to creating invoices and/or reports. 
  • Conduct proper internal review and audit control compliance before sending invoices to clients. 
  • Follow up on accounts receivable collections in a proactive and timely manner. 
  • Collaborate with others to ensure that work and external presentation of information adhere to organizational standards, guidelines, procedures, and deadlines as required. 
  • Assist with desk and annual audits as needed. 
  • Serve as backup to the accounting team as necessary, especially payroll and/or accounts payable. 
  • Assist finance and contracts manager on contract-related work as needed.
  • Create and maintain good working relationships with program managers and other staff members to follow generally accepted accounting principles (GAAP). 
  • Efficiently communicate with vendors and customers.


WHAT QUALIFICATIONS DO YOU NEED?

  • Bachelor’s degree or equivalent combination (at least five years) of education and accounts receivable/accounting experience
  • Sage Intacct and ADP payroll module experience is preferable but not required.
  • Proficient in Microsoft Office (Excel, Word, Outlook, and SharePoint, specifically)
  • Working knowledge of general accounting skills and GAAP
  • Attention to detail 
  • Excellent interpersonal and communication skills with internal staff and external clients 
  • Demonstrated problem-solving skills to rectify any billing or work-related issues

Selected candidates then will be invited to participate in a panel interview (which may or may not be remote).
