Assistant to Water Quality Deputy Program Manager

Keeping Washington Clean and Evergreen

The Water Quality Program within the Department of Ecology is looking to fill an Administrative Assistant 3 position. This position is located in our Headquarters Office in Lacey, WA.

In this position, you will provide high level, confidential administrative support to the Deputy Program Manager.

You will support a broad customer base, working to gain an understanding of our program and agency policies and procedures in order to offer guidance to our team.

During Healthy Washington Roadmap to Recovery, employees are working a combination of in-office and/or telework based on position and business need. This position is expected to be in the office approximately three days a week. Ecology is following current state guidance regarding building occupancy, mask requirements, health screening questions before entry, and social distancing.

Duties

  • Play a key role in a dynamic team that works hard behind the scenes to keep things running smoothly.

What you will do: 

You will play an important role in helping the core administrative functions of the program run effectively and efficiently. You will support several projects and improve processes. This includes:
 
  • Routing and tracking all program Human Resources paperwork.
  • Supporting the Program Management Team's weekly meetings, which requires regular communication with team members, and following up on action items.
  • Providing back up to the Program Manager's Assistant and the Watershed Management Section Assistant.
  • Serving as the liaison between our regional offices and headquarters.
  • Working with stakeholders to set up meetings and coordinate correspondence.
  • Providing support to the Budget Manager and fee unit.
  • Supporting the Water Quality Deputy Program Manager in day-to-day activities by maintaining their calendar, scheduling meetings, and keeping them informed of significant program issues.
  • Creating briefing materials for the Program Manager, and helping to ensure program deadlines are met.

  • Customer focused – anticipate team needs and remain flexible when things change. Communicate clearly and have follow-up in a timely manner.
  • Organized – manage and prioritize many competing tasks.
  • Dedicated to our team's success – as a major part of our admin team, you'll need to be resourceful and exercise good judgment to support our program.


Qualifications

Required Qualifications:
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, educational and volunteer experience. See below for how you may qualify.

Option 1:

Four (4) years of education and/or experience:
  • Education: in business administration, public administration or closely allied field.
  • Experience: clerical, secretarial, bookkeeping, accounting, or general administrative office work. 
Experience may include a combination of the following:
  • Proofreading, editing, and drafting emails, letters, forms, and other materials
  • Assisting with scheduling or coordinating meetings and other events
  • Answering phones and directing callers to the appropriate staff
  • Managing multiple calendars and/or schedules
  • Reviewing contracts and invoices for accuracy 

Option 2:
  • A Bachelor's degree or higher in business administration, public administration or closely allied field.
