Operations Assistant

Operations Assistant
The Operations Assistant is responsible for assisting all teams within operations including accounting, business analytics, human resources, legal, marketing, project management and sales operations. This position contributes to the company’s efficiency and success by supporting multiple facets of Choice Solutions, as well as individual team members. The Operations Assistant will report to the Human Resources Manager but will also support other Partners and team leads on an as-needed basis and will report to the Overland Park headquarters of Choice Solutions.
 
Responsibilities:
  • Assist marketing with events, both in-person and virtual
  • Support project management office (PMO) by scheduling meetings as necessary and serving as backup for PMO’s Service Coordinator in their absence
  • Support sales operations by scheduling resources as directed
  • Support CEO and COO by creating and/or compiling reports, spreadsheets, presentations, etc.
  • Assist human resources in all aspects of recruiting process including posting jobs, scheduling interviews, etc.
  • Assist human resources in build out training paths and update training records
  • Assist with travel for various team members for customer on-site visits and remote team member visits to the Overland Park office
  • Schedule maintenance requests with building management
  • Create and update marketing campaigns in company’s CRM
  • Proofread and edit documents as requested by various team members
  • Serve as point person for communicating document requests to appropriate team members and uploading documents for company’s annual SOC audit
  • Recognize opportunities for improvements to operational procedures by offering ideas and solutions
  • Schedule and order in-office meals as needed
  • Maintain inventory and order office supplies for Overland Park office
  • Serve as phone operator for incoming calls as needed
  • Other duties as assigned
 
Requirements:
  • Excellent ability to multi-task and prioritize tasks appropriately
  • Firm knowledge and understanding of the Microsoft Office suite
  • Ability to communicate across all levels of the organization to understand needs and find ways to assist
  • Ability to understand and analyze stakeholder needs and deliver based on those needs
  • Willingness to learn Choice Solutions’ business structure
  • Extremely detail-oriented and capable of delivering a high level of accuracy
  • Excellent interpersonal skills
  • Bachelor’s degree preferred
