Recruitment Assistant (Remote Possible)

Overview

AIR is currently seeking a Recruitment Assistant to join our Recruitment team. The Recruitment Assistant will work with and report to the Recruitment Operations Specialist to keep our recruiting process and operations running smoothly and to ensure AIR’s Global Summer Internship Program is a success. We are looking for individuals who are looking to learn and grow in the field of Human Resources.
 
The person hired for the position might initially start working remotely but will eventually have the option to work from one of our offices located in Arlington, VA; or Rockville, MD or have a hybrid work arrangement working in the office and remotely.

Responsibilities

  • Coordinate candidate interviews for multiple office locations and oversee all interview logistics, including video conference setup (e.g., Zoom or Microsoft Teams), sending calendar invites, administering candidate assessments, presentation setup and maintaining an excellent candidate experience.
  • Assist with the planning and execution of AIR’s Global Summer Internship Program.
  • Utilize applicant tracking system (e.g., iCIMS) for communication with interview candidates.
  • Reconcile corporate card charges for recruitment department.
  • Maintain the recruitment inbox and respond to candidate inquiries.
  • Help create and maintain recruitment materials (e.g., Recruitment Process Guide, Summer Internship Guide, and Intern Staff Manager Guide).
  • Recommend process improvement suggestions relative to recruiting.
  • Provide other support to the recruitment department as needed.
  • Assist with candidate care, including travel arrangements, reimbursement request, if needed.
  • Ad hoc recruitment projects and events.


Qualifications

  • Bachelor’s degree in the field of Human Resources, Organizational Leadership, Organizational Development, or other related fields of study OR High School diploma with at least 1-2 years of experience as an administrative assistant and/or experience in a Human Resources department
  • Experience with Applicant Tracking Systems, specifically iCIMS - preferred
  • Ability to manage a high volume of complex interviews schedules
  • Strong organizational and time management skills
  • Excellent problem solving and flexible attitude toward duties and responsibilities 
  • Demonstrated proficiency with Microsoft Office Suite (e.g., Word, Outlook, Teams and Excel) and Zoom
  • Willingness to learn new software programs (e.g., iCIMS), as needed
  • High level of maturity and ability to work with sensitive personnel information
  • Great attention to detail and ability to work independently and as a member of a team
  • Excellent ability to communicate verbally and in writing in a professional manner
  • Interest in event planning (in person and virtually) – a plus
 

Disclosures
