Student Associate : Office and Operations Assistant (open to work study and non-work study)

The student associate serves as the primary point of contact for students, faculty, staff and guests at the reception desk of the University of Texas at Austin Department of Theatre and Dance. The associate assists and provides services to the various constituents of the F. Loren Winship Drama Building and Laboratory Theatre (Department of Theatre and Dance) in a professional and friendly manner. The student associate also serves as a building monitor for the Department of Theatre and Dance facilities listed above. Associates ensure proper use of the facilities by checking in occupants (students, faculty and staff) and monitoring spaces during non-business hours.
 
Administrative: Responsibilities include coverage of reception area; meet and greet faculty, staff, students, and visitors. Answer phones, take messages, and field general inquiries and direct to appropriate staff. Maintain cleanliness of reception area.
 
Concierge: Manage use of facility rooms that are used for classes and productions. Greet and direct students, faculty and staff to pre-reserved rooms. Sign in/sign out each occupant during non-business hours. Guarantee classrooms and production spaces are locked upon completion of shift.
 
Operations: Responsibilities include touring the facility to open, lock and unlock classrooms, turn common area lights on, and note any irregularities (i.e. damaged property, trash). Note: These are general duties and scope of position may extend to additional duties and special projects as assigned by Operations and Communications Manager as well as administrative staff. Work with the Assistant Operations Manager and staff personnel to provide effective day-to-day facility operations. Position will receive after hour delivery packages (Fed Ex, Amazon) and lost & found items that will require documentation and handling per UT Police Department protocol. Position will be required to assist with emergency protocol for evacuation and emergency preparedness.
 
Monitor: After 5pm and on weekends, tour facility with hourly rounds to provide departmental presence of security and safety for occupants. Inspect and check rooms for irregularities, hazards, and safety concerns then report to Assistant Operations Manager. Liaise with university units for specialty requests (i.e. custodial services, IT).
 
Qualifications: This position requires highly effective communication skills, attention to detail and the ability to assist numerous guests efficiently. Must be punctual, organized and resourceful.
This role is a critical component of the department with primary functions in the office of the department chair so high standards are required in demeanor, dress code, attitude, duties, and mission.
 
Skills required for this position are time-management, excellent communication, proactive, customer service, and initiative. Learning is highly critical and will be a part of your role within the department. Feedback and input are extremely important and encouraged throughout your assignment. 
 
In response to COVID-19, the department's reception desk has been relocated to the F. Loren Winship Building Box Office. This space provides for appropriate social distancing and safety measures.
 
Regular hours of service are Monday through Friday, 8:00 a.m. - 10:30 p.m. and Saturdays and Sundays from 10:00 a.m. – 10:30 p.m. This positions begins as early as August 20 and will continue through as late as May 31.
