Graduate Assistant: University Unions Facility Management & Reservations

University Unions is currently hiring one Graduate Assistant in the Texas Union and Hogg Memorial Auditorium. This is a leadership position offering a high degree of facilities management experience. They will supervise a student facility management team that assists with events, safety & security and emergency response. The University Unions is a customer service organization and these facilities are high-traffic areas. This position will have extensive in-person contact with the University and Austin community and we want to ensure exceptional experiences within our facilities.

Start Date: June 1, 2021

Hours to be scheduled between 6:30am to 10:30pm, Monday through Friday, with some prescheduled weekend hours. May require weekend evenings and/or weekend work.

Stipend Based on Hourly Wage (20 hour per week assignment at ($13.54-$14.23) hourly rate): Up to ($5,280-$5,550) per long semester based on hours actually worked with maximum of (390) hours paid per long semester, plus in-state tuition and insurance.

Duties and Responsibilities:
The duties and responsibilities vary, but may include:

  • Provide support and supervision for the student facility management team, including assisting with hiring, scheduling, training, and evaluation.
  • Oversight of daily operations of the building including security and event services.
  • Respond to and resolve facility, team, and event issues.
  • Utilize reservations software to assist with the scheduling and set-up of events.
  • Liaison with Union departments including Hospitality, Housekeeping, AV, and HMA staff to prepare for upcoming events.
  • Maintain record of Facility Management team’s daily duties and building opening/closing checklists.
  • Coordinate room activity with Event Staff to ensure that the rooms are ready for use.
  • Create and maintain a Building Services Wiki to assist with transfer of knowledge and recording of best practices.
  • Prepare reports and other written correspondence on a daily basis.
  • Liaison with other department supervisors and Director of Operations to ensure open, direct communication.
  • Develop a day-of intake program for events to monitor quality of facility, setup, and AV.
  • Serve on the facility inspection team and as a member of the operations team.
  • Maintain and develop a training program for Facilities Management team.
  • Coordinate supervision and train student team members on role.
  • Lead and maintain communication with Facilities Management supervisory team.
  • Assist in the enforcement of facility guidelines and university policy.
  • Oversee Facilities Management team including semester/holiday scheduling, onboarding process, and problem-solving related issues.
  • Coordinate shift coverage as needed.
  • Other, related responsibilities, as assigned.

Required Qualifications:
  • Must be a currently enrolled graduate student (taking at least 9 hours). Preference will be given to Master's and Ph.D. students. Summer employment is available prior to Fall 2021 semester.
  • Experience with computer hardware and software, including mobile devices.
